Year group meetings, pastoral reviews and report-writing days are core to the teaching year in UK secondary schools. In the US, the equivalent grade-level team meeting, student support team (SST) or progress monitoring conference serves the same purpose. These sessions generate decisions - about interventions, reports, academic warnings, enrichment - that affect students' trajectories.

Capturing team decisions on student progress

With the agreement of those present, Listen records the year group or class review meeting. The diarisation distinguishes form tutor, subject teachers, SENCO, and pastoral leader. The AI summary extracts: whole-class observations, individual students flagged for support or recognition, and agreed actions for the next reporting period. For the parent meetings that follow, see our article on parents' evenings.

Consistency and accountability in student support

When review decisions are properly documented - rather than relying on each teacher's memory - the resulting interventions are more consistent and more easily reviewed. In schools under Ofsted scrutiny (UK) or state accreditation visits (US), documented pastoral decision-making is evidence of effective practice.

💡

Announce the recording at the start of the meeting and obtain the agreement of all staff present - this is good practice and ensures the record is used appropriately.
